How a project runs

One Project, Start to Finish

A dental practice wants a new site. The proposal goes out at $3,250 for the build and $950 for the brand kit, with hosting and the maintenance plan priced on the same page. They approve it, and the first payment comes in by link that week. The site goes live, the rest of the build is billed that day, and hosting at $46 and maintenance at $195 start charging monthly. In March the practice puts its machines on managed IT at $650 — same client, one more schedule.

  1. The proposal goes out with the plans on it

    The build, the brand kit and the monthly plans are priced on one proposal, so the client agrees to the retainer at the same time as the site.

  2. The client approves it and pays

    They type their name to approve, and the approval is stamped with the date and time. A pay link takes the first payment — no card number read out over the phone.

  3. The plans charge from go-live

    Hosting, maintenance and managed IT charge every month at that client’s price. What’s due in the next seven days, and anything that failed to collect, is on the dashboard.

Retainers, Scope and Renewals

The project grows and the proposal doesn’t

Extra pages, a second round of logo concepts, a $780 data migration nobody scoped. The extra work goes out as a second proposal, picked from the same service list as the first, and it’s approved before anyone builds it.

The $46 line is the one that goes unbilled

Hosting bills monthly and the domain and SSL renew once a year at $156. Both are schedules on the client, and a schedule that only fires in twelve months is still sitting there in twelve months.

Can one client be on several plans at once?

Yes. Hosting, a maintenance plan and managed IT sit on the same client as three separate schedules, at three amounts on three dates. Pause one and the other two keep charging.

Can I take money up front on a project?

Yes. Once the proposal is approved, a pay link goes out for the first payment and the rest is billed at go-live. While that link is out the dashboard counts it as money sitting with the client, so a link nobody opened doesn’t just go quiet.

Does this track hours or run timesheets?

No. There are no clock-ins here — it’s proposals, plans and payments. After-hours work bills as a line at $228 an hour, and whatever you use to track the time stays where it is.

Can clients pay from a bank account instead of a card?

Yes, card or bank, and the client picks on the pay page. A charge that fails pauses that plan and puts it on the dashboard with the reason, in words you can act on.

Do I have to rebuild the proposal for every new site?

No. Your services are a priced list, so a proposal is picking lines — the build, the brand kit, the plans — not retyping them. A line you type in by hand gets added to that list afterwards, so you only invent it once.

Do clients get anywhere to see what they’re paying for?

Yes. A client can be given a login that shows the plans they’re on and the payments already taken. It answers the “what’s this $46 for?” email without anyone going back through their own records.
