QuixChex Privacy Policy

1. Scope and our role

This policy covers the businesses that use QuixChex (each a "PayPro") and the people who sign in on their behalf. QuixChex is a service provider to the PayPro: information about the PayPro's own clients and staff is processed on the PayPro's instructions, and QuixChex has no direct relationship with those people. Telling them what is collected, and getting any consent required, is the PayPro's responsibility.

2. What we collect

From the PayPro. Business name, address and contact details; the names, emails and credentials of authorized users; the company logo, timezone and display preferences; subscription and billing records; and correspondence with support or compliance.

About the PayPro's clients, entered by the PayPro. Names and contact details, addresses, quotes, invoices and payment history, and — where ACH is used — routing and account numbers.

About the PayPro's staff and crew. Name, contact details, login credentials, pay rates, hours worked, payout details, and tax documents such as a W-9 that the PayPro uploads.

From use of the platform. IP address, device and browser metadata, log files and timestamps, activity records, error reports and performance data.

Location and photographs. Where field operations are enabled, a worker's device shares location while they are on shift, and stops when the shift ends. Photos taken against a job — before, during and after — are stored as part of that job's record.

3. How we use it

  • Running the platform and the workflows a PayPro sets up
  • Producing quotes, invoices, schedules, pay pages and reports
  • Monitoring fraud, risk and compliance
  • Answering support, audit and compliance requests
  • Meeting legal, regulatory and financial-institution obligations
  • Diagnosing faults and improving reliability

We do not sell personal information, and we do not use it for advertising.

4. Bank and card details

Bank and card details are held only to the extent operating the service requires, and are transmitted to processors and financial institutions at the PayPro's direction. The PayPro is responsible for having collected them lawfully and with authorization.

5. Worker records and tax documents

Tax documents and payout details are stored so a PayPro can meet its own obligations. Uploading a W-9 to QuixChex stores it; it does not file anything with any authority.

6. Location data

Location is collected only while a worker is clocked in, is visible to the PayPro who employs them, and is never sold or used for any purpose beyond showing that PayPro where their crew is during work. A reading sent while nobody is on shift is refused, not stored.

It is also only collected once the worker has accepted the notice we show them. We record who accepted, when, and which version — so consent is something that can be shown, not just something that was displayed.

Raw location records are kept for six months and then deleted automatically. A deactivated worker's last known position is cleared when they are deactivated. A PayPro can erase a worker's entire location history at any time. Shift start and end points and job arrival times are kept longer — they are records of hours worked and time on site, not a movement trail.

7. Sharing

We share information with:

  • Payment processors, sponsor banks, ODFIs and card networks, to move money
  • Service providers for hosting, email delivery, analytics and security
  • Accounting integrations, such as QuickBooks, where a PayPro connects one
  • Legal and regulatory authorities where required by law or valid process
  • Others where necessary to protect the rights, property or safety of QuixChex, a PayPro or the public

Each disclosure is limited to what is reasonably necessary.

8. Retention

Information is kept for as long as it is needed to run the service and to satisfy legal, accounting and regulatory obligations. A PayPro decides retention and deletion for its own client and staff records. On termination, data is deleted or returned within a reasonable period unless retention is legally required.

9. Security

We apply reasonable administrative, technical and organizational safeguards, including encryption in transit, access controls scoped to a PayPro's own records, and logging. No system can be guaranteed completely secure. We will notify an affected PayPro without undue delay after confirming a breach that concerns their data, as the law requires.

10. Cookies and local storage

The platform stores a session token so you stay signed in, and your appearance choices — surface, palette and typeface — in your browser's local storage. Neither is used for tracking or advertising, and clearing them signs you out and restores the defaults.

The demo site also stores a random visitor identifier, described in the next section. The live platform does not.

Our marketing website at quixchex.com is a separate thing from the platform, and it does use Google Analytics to understand which pages bring people to us — and, where we run advertising, Google’s conversion measurement to see which ads lead to a demo or an enquiry. Those set cookies in your browser and are the only tracking or advertising cookies we use. They are not set inside the platform, they are not tied to a PayPro account, and you can refuse them by blocking cookies in your browser or through Google’s own opt-out.

11. The demo site

demo.quixchex.net is a copy of the platform filled with sample data, published so anyone considering QuixChex can look around without an account. Visits to it are recorded: a random identifier stored in the browser, the IP address, browser and device details, the page that referred you, and which demo screens were opened. We use it to see which trades are being evaluated and to follow up with businesses that show interest. It is not sold and not used for advertising.

Identifiers in a web address are stripped before a screen is recorded, so what is kept is which kind of screen was opened — not any record it displayed. Records are deleted automatically after 180 days, and we will erase yours on request.

None of this happens on the live platform at quixchex.net. Signing in to your own account is not tracked this way.

12. Email and notifications

We send transactional messages: invoices, pay links, receipts, reminders, alerts about expiring documents and usage. These are part of the service rather than marketing, so they are not subject to an unsubscribe; ending them means changing the setting that produces them, or closing the account.

13. What a PayPro is responsible for

  • Giving clients and staff their own privacy notice
  • Obtaining consents and authorizations, including for ACH, location and photography
  • Answering requests from their clients and staff to access, correct or delete data
  • Complying with the privacy and data-protection law that applies to them

QuixChex has no direct obligation to a PayPro's clients or staff.

14. Regulatory alignment

We operate in line with the requirements of sponsor banks and ODFIs, payment processors, and applicable federal and state law, and may update our practices to stay aligned with them.

15. Changes

This policy may be updated. Continued use after a change takes effect is acceptance of the revised policy.
